About the job:

We seek to hire an Office Assistant who will be a key member of the Office Management team at Wafra. The Office Assistant will have strong communication and organizational skills to provide high level support to professionals in a fast-paced environment.

Duties and Responsibilities:

  • The Office Assistant will be responsible for providing white glove service to Wafra employees and duties will include, but not limited to:
  • Perform customer service functions by answering employee requests and questions
  • Manage, stock, and order office and kitchen supplies weekly to ensure all resources are adequately maintained. Maintain kitchens, conference rooms, and copy rooms on a daily basis.
  • Deliver correspondence as needed (Fed-Ex, certified mail, P.O. Box, etc.)
  • Deliver and pick up mail and packages
  • Coordinate setting up and clearing lunches and company events
  • Coordinate office and desk setups for new employees
  • Assist the Assistant Office Managers as necessary
  • Oversee and understand the meeting room calendar to maintain continuity while covering front office as well as understand the meetings for the day
  • Coordinate IT equipment set-up and removal in conference rooms
  • Deliver exceptional service to clients, employees, and office guests, ensuring all interactions are handled with professionalism and care.
  • Cover lunch breaks and vacations for the front office, maintaining a friendly and responsive front desk
  • Adopt a proactive approach to identify and solve potential issues in the office environment; taking initiative is key.
  • Manage projects assigned within the team and communicate efficiently
  • Maintain effective communication with management and colleagues to ensure smooth operations across the firm.
  • Ensure common areas, kitchens, corridors, and conference rooms are always up to SOP standard
  • Perform other related duties as assigned to support the team

Requirements

  • High school diploma or GED equivalent
  • 2+ years of corporate experience preferred
  • Able to exhibit a high level of confidentiality
  • Excellent interpersonal and organizational skills
  • Some computer skills, including Microsoft Word and Excel
  • Effective oral and communication skills
  • Ability to lift 50lbs
  • Drivers license a plus (not required)

A good faith estimate of the Base Salary range is $70,000 – $75,000 with the possibility for a discretionary bonus.

All duties and responsibilities of this role will be conducted on-site at the Company offices.
