Position: Administrator (Human Resources Administrative Assistant)
Reports to: Director and Vice President
Position Summary: Provides administrative and HR support to the Human Resources team
Duties and Responsibilities:
• Personnel files and records – maintenance of personnel files, ensuring timely filing of documents and transition between active/terminated files, performing any necessary audits and record destruction under supervision of Director/VP
• PTO record-keeping – managing PTO tracking system, coordinating with employees and managers as needed, making adjustments and corrections when needed
• Updating and maintaining employee profiles in the HRIS
• Scheduling and coordination of HR meetings, recording meeting minutes, preparing materials for meetings, follow-up communication and tracking of action items as needed
• Updating, maintaining, and managing the HR Calendar & Timeline
• Assistance with paperwork, data entry, and reporting
• Assistance with various HR projects and initiatives, including vendor research and coordination
• Performs customer service functions by answering employee requests and questions
• Works with HR Coordinator to keep HR Intranet content relevant and up to date
• Assists or prepares correspondence, as needed
• General administrative support for the team, as well as ad hoc administrative support as needed for the Director
• Ad hoc projects
• Performs other duties as assigned
Requirements
• Bachelor’s Degree (in Business/HR Management a plus)
• 1-2 years’ experience in a similar capacity, with a career interest in Human Resources
• Able to exhibit a high level of confidentiality
• Knowledge of various employment laws and practices a plus
• Excellent interpersonal and organizational skills
• Excellent computer skills, including Microsoft Word and Excel
• Excellent oral and written communication skills
• Ability to collaborate with all levels within the HR team and the organization
• Ability to prioritize work and meet necessary deadlines
